Sacred Life by Design
Retreat Participation Agreement
1. Introduction
My intention in facilitating the Sacred Life by Design Retreat series is to encourage you to return to your natural rhythm by coming back to your own body and your own energy. My goal is for the Retreats to provide a safe and inclusive space for you to experience transformation, both personally and professionally, while enjoying self-care and time away from your normal routine.
The Retreats will focus on:
● Seeing beyond your excuses and working out what your ultimate life would look like
● Grounding and clearing the mental and physical clutter to identify and refine your signature offer
● Elemental learning to help you find your soul purpose and get it out into the world, and
● Nurturing a deeper, devotional connection to spirit.
The Retreats do not need to be done in order, and there is no need to complete them all – unless you want to! This Agreement applies to any of the Retreats you choose to attend. There is also a series of courses available that provide additional resources and opportunities for exploration this material. You are very welcome to mix and match the courses and the Retreats to create a program that meets your needs.
The Retreats are run by me, Tanya McLoughlin, trading as Seeds to Self ABN: 96 296 858 490. If you have any questions or need to contact me, please email [email protected]
Your details as a Retreat Participant are provided to me in the intake form which is to be filled out during the onboarding process. I am entitled to rely on the details you provide in that form.
If anything in this Agreement is unclear, please seek independent advice to ensure you fully understand your rights and obligations. I encourage you to negotiate any clause of this Agreement which feels unfair to you.
I welcome constructive feedback as an opportunity to review and improve my practice. Please feel free to email me to discuss any issues that arise.
2. Retreat details
All the important information about the Retreat, including dates, location, price, and payment plans are available on the landing page, and provided to you again during the onboarding process.
3. Payment
All prices are in Australian dollars. I am not registered for GST.
Payment is required by EFT or by credit card using Stripe. I do not have access to your credit card information.
All payment plans must be paid IN FULL at least 3 weeks before the Retreat.
If your payment is late, you will receive 3 automatic reminder notifications, and I will reach out to see if there are extenuating circumstances. However, if your payment is not received in full by the due date, then your non-refundable deposit will be retained and any amounts you have paid beyond that will be refunded.
The cost of the Retreat includes all workshops and wellness sessions, meals & refreshments, and accommodation for 3 nights and 4 days. It does NOT include any airfares, travel arrangements or insurance. Massage and reiki treatments may be available on request but must be paid for separately.
4. Refunds
Because the Retreat has limited places and venue, accommodation, catering, facilitator and planning costs are incurred well in advance, the following refund terms apply. An administration fee of $150 applies to any withdrawal.
If you withdraw more than 8 weeks before the Retreat start date, you will receive a full refund of payments made, less the administration fee.
If you withdraw between 8 weeks and 3 weeks before the Retreat start date, you will forfeit your deposit and any additional amounts paid beyond the deposit will be refunded, less the administration fee. The deposit is non-refundable during this period because it secures one of a limited number of places and reflects the real upfront costs we incur preparing the Retreat for you.
No refunds are available for withdrawals made within 3 weeks of the Retreat start date, as accommodation and other key costs will already have been paid and are not recoverable. However, you may transfer your booking to another person by notifying us by email as soon as possible. The replacement participant must complete the intake form and agree to these Terms. We will do our best to accommodate their needs, but specific dietary requirements or special requests may not be possible if insufficient notice is provided.
If you are unable to attend due to circumstances genuinely beyond your control, please notify us immediately. We will consider the situation in good faith and work towards a fair outcome in the circumstances. However, as accommodation and venue costs are paid in advance and are not refundable to us, a refund will not be available on that basis alone.
No refunds are available if you leave the Retreat early.
5. Communication
All important communications will be by email, so please make sure I have your best email address and am marked as a contact. That way you are more likely to see my messages. It is not my responsibility if you miss any important communications sent to the email address you provided.
You will also be provided with my contact details to be supplied to your family for use in case of emergency.
6. The Retreat Content & Structure
You can expect to receive:
Before the Retreat
You will be provided with:
❖ A suggested packing list
❖ An information guide for all planned activities
During the Retreat
❖ Group facilitation of workshops
❖ Shared mealtimes
❖ Opening and closing circles
❖ Quiet time and space for personal reflection
Please be aware that we will be working in flow, seeking what serves the highest outcome for all participants. As a result, I try to keep our planning flexible and adaptable, leaving room for the Retreat to evolve to suit the Participants. If for any reason you feel dissatisfied with your Retreat experience, please let me know privately, and I will attempt to find a mutually satisfactory solution.
I ask that all Retreat Participants adopt a playful, curious frame of mind to help us co-create an incredible connected and productive experience.
You acknowledge that the Retreat is held at third party premises. Although I endeavour to choose the venues carefully, I have no control over, or liability for, any claims or issues with the venue.
7. Travel Arrangements
You are responsible for researching, obtaining and maintaining any required documentation (such as passports and visas where relevant) in respect of your participation in the Retreat or further travel or sightseeing that you choose to do.
The Retreat package does not include flights, travel from the airport to the venue or any other travel of any kind. You are responsible for making your own travel arrangements.
8. Insurance
I strongly recommend the purchase of appropriate travel insurance for the Retreat.
You are solely responsible for the cost of any such travel insurance and for ensuring that you are adequately insured for the full duration of the Retreat with respect to possible illness, injury, death, property damage, loss of baggage and personal items, cancellation and/or curtailment, and/or any other potential losses, damages, costs, expenses, or liabilities (collectively “Losses”).
You are solely responsible for any Losses related to your failure to procure travel insurance, and you indemnify me against any and all Losses you may experience that are not directly and clearly attributable to my negligence or that of my team.
9. Accommodation
Accommodation is included in the cost of the Retreat package.
Details are set out in the information provided to you during the onboarding process.
If anything about the accommodation does not meet your expectations, please bring your concerns directly to me rather than complaining to staff at the venue.
10. Arrangements for Food & Meals
Three meals a day plus snacks and refreshments are included in the cost of the Retreat package. Prior to the Retreat, you will be asked to fill out a form specifying your dietary requirements.
11. Internet Access
Wi-fi access is usually provided by the venue. If it will not be available, you will be warned well in advance.
Any costs or charges associated with your use of mobile data are entirely your own responsibility.
12. Integration & down time
There will be regular periods of free time in the evenings, when you can do your own thing. We often choose to spend this time together socialising, but you are free to do whatever you wish during these times.
If you choose to go exploring at any time, please take care for your own safety. Let me know where you are going before you leave, and be mindful of your own safety at all times.
It is strongly recommended that if you are not attending the optional activities, you use this as integration time and prioritise rest, self-care and connection.
If you choose to consume alcohol during the Retreat, you agree to do so mindfully and responsibly. Disruption of the group experience will not be tolerated, and you may be asked not to participate in group sessions if you are intoxicated.
13. Voluntary participation
We hope that you will join in all the activities to get the most out of the Retreat, but everything is optional. You are expected to take ownership of your journey, assess your own capacity for participation, monitor your own well-being and modify activities for your needs as required.
14. Cancellation by me
I may cancel or reschedule the Retreat before the start date if circumstances arise that are beyond my reasonable control, including but not limited to government restrictions, natural disasters, extreme weather events, public health emergencies, venue unavailability, facilitator illness, or other events that make it unsafe, unlawful or impracticable to proceed.
If the Retreat is cancelled before it begins, you will receive a full refund of all amounts paid to me.
If the Retreat is rescheduled, you may choose to transfer your booking to the new date or receive a full refund.
I will provide as much notice as reasonably possible if cancellation or rescheduling becomes necessary. I strongly recommend that you obtain appropriate travel insurance to cover flights, accommodation booked independently, and any other travel-related expenses. I am not responsible for costs you incur outside the Retreat fee, including travel, visas, insurance, or personal arrangements.
If the Retreat is interrupted or curtailed due to circumstances beyond my reasonable control after it has commenced, I will consider the circumstances in good faith and determine an appropriate remedy, which may include partial credit toward a future Retreat where reasonable. Safety will always be prioritised.
15. My Responsibility
It is my responsibility to:
❖ show up and be awesome
❖ impart my knowledge to the best of my ability
❖ create a safe, fun and memorable experience
❖ provide an environment conducive to connection, and
❖ challenge you for your highest good to get out of your comfort zone.
I will do everything I can to make sure that the Retreat goes ahead as planned and that we stick to any plan that we have agreed while we are there. I will try to ensure that you feel safe, comfortable and supported at all times.
I will also provide you with accountability and guidance to help you achieve your goals for the Retreat.
My Retreats are held in hired venues in Australia. I familiarise myself with the venue and its procedures in advance, and my initial welcome and housekeeping presentation will include important safety information. Please ensure you listen to and understand this information and take responsibility for your own wellbeing. If you notice anything during the Retreat that could create a danger for Retreat participants, please let me know privately about your concerns.
At all times, I encourage you to ask questions - including before the Retreat - if you have any anxiety about anything, so I can assist you in making this Retreat a positive experience to remember.
16. Your Responsibilities
You are responsible for your own wellbeing, safety and personal needs during the Retreat. Please ensure you bring any required medication, manage your health appropriately, and make independent arrangements for travel, insurance and emergency contingencies. It is wise to have access to emergency funds, key contacts and a practical backup plan in case life throws something unexpected your way.
Retreat life requires a degree of flexibility. Schedules, activities and inclusions may shift due to weather, safety considerations or other practical realities. Come prepared to allow a little space for the unplanned.
Set an intention to show up fully for yourself. Bring the recommended resources. Be honest about what you need, and thoughtful about setting goals that are supportive and realistic.
You agree to be a positive and respectful presence within the group. This includes respecting the confidentiality, privacy, emotional safety and boundaries of other Participants. What is shared during the Retreat is to be treated as confidential and not discussed outside the Retreat.
Please treat facilitators, staff, venue providers and fellow Participants with courtesy and respect. We are all here to create something meaningful together.
17. Care for yourself
Accountability and personal responsibility are essential to your wellbeing. Be mindful of your physical well-being and proactively manage your energy. If you have any concerns or problems, communicate with me! I don’t know what is going on for you unless you tell me.
Please do not take anything personally. Everyone on the Retreat is on their own journey. Know that you are in a safe place and reach out for our support when you need it.
Give yourself the time you need to integrate, shift, change and embody rather than rush anything or compare your experiences to others. Please do not compare yourself to anyone else. Be patient with your unique evolution.
18. Care for Retreat property
Please be respectful of the venue and its surrounding environment. All Participants must keep the Retreat venue’s fixtures, fittings, furniture and effects in a clean and good condition and shall replace any articles which are destroyed or missing with articles of a similar kind and of equal value.
19. Care for your belongings
Before the Retreat, I will email you a general list of what to bring based on my previous experience. This list is intended as a guide, and you are to use your own judgment and make informed decisions about what you will need.
I am not liable for any theft, loss or damage to any of your personal belongings during the Retreat. This includes any items left behind in your room or left unattended in the common areas of the Retreat venue. Please take appropriate care to ensure your belongings are safe.
20. Care for other people
You are here for a collaborative community experience which involves honouring each other’s values and beliefs. When people gather together, we all come with our emotions, vulnerabilities, thoughts, stories, triggers and trauma. Please do your best to hold space for each other and not get caught up in ego or judgment. Appreciate that we are all unique and different.
I ask that you aim for a neutral perspective and honour other people’s experiences, points of view and ways of seeing the world. I honour and respect each of your business and personal journeys. Rather than judging or deciding what is right or wrong for someone else, please remember that every person sees the world differently, and every person, practice and business is different.
As a healer, coach or facilitator, the temptation to help may be strong. I ask that you do not give unsolicited advice. Please respectfully ask for permission before sharing your perspective regarding someone else’s situation and speak to me privately if you are concerned about another Participant’s wellbeing.
Boundaries are essential on a communal Retreat. Honour other people’s space and processes. Be aware of your own space and the space of others. Respect everyone’s right to take time alone to integrate and not socialise. This is not primarily a social retreat, and quiet time is part of the experience.
Rudeness, aggression, violence or abusive behaviour will not be tolerated. I reserve the right to require you to leave the Retreat or take other appropriate action if your conduct compromises the safety, wellbeing or experience of others. Any such decision will be made reasonably and in good faith. If you are required to leave for this reason, no refund will be provided, and I will not be responsible for any associated travel or accommodation costs. This is not a decision I will make lightly, but I take my responsibility for holding a safe space for all Participants and staff very seriously.
21. Drugs, Alcohol & Smoking Policy
The Retreat is a drug and smoke free environment (which includes vaping). The use of illegal drugs is strictly prohibited.
Alcohol is not recommended during the Retreat. If you choose to consume alcohol, it must not be brought to shared meals or group activities and must be limited to your private room or off the venue grounds. You agree to consume responsibly and to behave respectfully at all times.
22. Marketing and promotional activities
You must not directly promote, market or attempt to sell your services to another Participant during Retreat.
Any arrangement or transaction that Participants enter into with each other, including the purchase or provision of services, is entirely between those Participants. I have no involvement in, and accept no responsibility or liability for, any such arrangements or transactions.
23. Confidentiality
This is a BIG one. Throughout the Retreat we will be sharing information about our businesses and personal lives that is not in the public domain, including ideas, strategies and trade secrets. It requires a significant amount of trust to open up through personal vulnerability, and that is part of the experience of being on Retreat.
It is an essential condition of your participation that you respect the intellectual property and confidentiality of other Participants and of mine. Information shared during the Retreat that is not publicly available should be treated as private and confidential and must not be disclosed, reproduced or used for your own commercial benefit without the express permission of the person who shared it.
This obligation continues after the Retreat ends.
24. Age, health & fitness of participants
The Retreat is open only to individuals aged 18 years and over. Babies or children may not accompany Participants unless discussed and agreed with me in writing in advance.
You are responsible for ensuring that you are physically and mentally fit to participate in the Retreat. You agree to consult an appropriately qualified healthcare professional before the Retreat if you have any concerns about your health or capacity to participate.
If at any time during the Retreat you experience doubt about your physical or mental wellbeing, or your ability to safely participate in any activity, you agree to immediately cease that activity and seek appropriate medical advice or assistance.
25. Medical Treatment & Emergencies
In the event of a medical emergency, you authorise emergency services to be contacted on your behalf if reasonably necessary. If medical assistance is required, you agree to follow the reasonable directions of medical professionals, including transport to hospital if recommended.
If the Retreat involves overseas travel, you acknowledge that healthcare standards, availability and costs may differ from those in your home country. You accept responsibility for any medical expenses, travel changes or related costs arising from illness or injury. I strongly recommend that you obtain travel insurance with appropriate medical and cancellation coverage for your needs.
We maintain contingency plans for unexpected medical situations and emergencies. Safety is our priority, and if emergency procedures need to be enacted, you agree to cooperate reasonably with those procedures.
If the Retreat is disrupted due to circumstances beyond my reasonable control, I will consider the situation in good faith and determine an appropriate remedy, which may include rescheduling affected components where reasonable. This does not automatically entitle you to a refund.
26. Photos, videos & other media release
You are welcome to take and share your own photos while on the Retreat, provided you are respectful of the wishes and privacy of others who may be included. Please ensure you have their consent before sharing images publicly. If you do share photos from the Retreat on social media, I would love for you to tag me.
The release below applies to all photographic, audio and/or video recordings collected as part of, in connection with, or during the Retreat by me or by any third party authorised by me.
With your consent at the time of recording, you authorise me to use your name, voice, appearance, image, words and participation (in whole or in part) in any photos or recordings taken during the Retreat, and in future materials created from them. You understand that these materials may be used for educational, promotional and commercial purposes.
You acknowledge that I am not obliged to use any particular recording and may edit recordings for clarity, length or presentation. You grant me the right to reproduce, publish and communicate such recordings to the public without compensation to you. Subject to applicable law, I will own the copyright in recordings I create.
You grant permission for such recordings to be displayed online and in other public or promotional settings, without geographic limitation.
You understand that you will not receive royalties or additional compensation arising from the use of such recordings.
I promise that recordings will be obtained respectfully, carefully selected and sensitively edited to showcase the Retreat experience while maintaining the safety and integrity of our shared space. If you have concerns about a particular image or recording, please contact me and I will consider your request in good faith.
27. Our legal relationship
You engage me to provide the Retreat to you personally, and where appropriate, through my contractors, employees and agents. Our legal relationship is that of independent contracting parties.
Nothing in this Agreement creates a relationship of employment, partnership, joint venture or agency between us. Neither party has authority to bind or represent the other.
28. Intellectual Property
You acknowledge that materials I share with you during the Retreat (including information, names, models, exercises and processes) may include copyright works, unregistered trade marks, trade secrets, and confidential information owned by me.
The Retreat materials are provided to you for your personal use in connection with the Retreat only. You must not reproduce, adapt, publish, distribute, teach, commercialise or otherwise use any Retreat material for business or commercial purposes without my prior written consent.
I may share information during the Retreat that is not in the public domain. You must not disclose or use my confidential information other than for the purpose of participating in the Retreat.
For clarity, all intellectual property shared by me during the Retreat remains my property. Other Participants retain ownership of their own intellectual property. You must not copy, republish, adapt, commercialise or otherwise use content that is not your own creation without the prior consent of the person who owns it.
Respect for each other’s ideas and creative work is a foundational part of this Retreat experience.
29. Guarantees
I do not guarantee any particular results or outcomes from your participation in the Retreat. While I will provide information, guidance and strategies to the best of my ability, you remain responsible for how you apply and implement what you learn.
Any outcomes you experience will depend on a range of personal, professional and external factors that are outside my knowledge and control. For that reason, no representation or warranty is made as to the achievement of specific goals, financial results or personal outcomes.
30. Indemnity
You agree to indemnify me against any loss, damage or liability I incur arising from your breach of this Agreement or from your negligent, unlawful or reckless conduct during the Retreat.
Any guidance, suggestions or strategies shared during the Retreat are provided for your consideration only. You remain responsible for the decisions you make, the actions you take, and the consequences of those decisions in your personal and professional life. You are encouraged to conduct your own research and seek independent professional advice where appropriate.
You acknowledge that you participate in Retreat activities voluntarily and at your own risk. To the extent permitted by law, I am not liable for personal injury, loss or damage arising from risks that are inherent in the activities or from circumstances beyond my reasonable control.
Nothing in this clause excludes, restricts or modifies any consumer guarantees or other rights you may have under the Australian Consumer Law that cannot lawfully be excluded.
31. Limitation of Liability
To the maximum extent permitted by law, my total aggregate liability to you for any loss or damage arising out of or in connection with the Retreat or this Agreement is limited to the amount you paid to attend the Retreat.
32. Dispute Resolution
If a dispute arises, both of us agree to act in good faith and behave respectfully towards each other throughout the resolution process. We agree to avoid making public statements about the dispute that are misleading, defamatory or intended to harm the other’s reputation. Nothing in this clause prevents either party from making a legitimate complaint to a regulatory body or exercising their legal rights.
If you have any concern, issue or complaint arising out of the Retreat or this Agreement, you agree to raise it directly with me first so that we can attempt to resolve it through open discussion and good faith negotiation. Please contact me by email and I will respond within 2 business days, where reasonably possible.
If the matter cannot be resolved through discussion within a reasonable time, both parties agree to attempt to resolve the dispute through mediation before commencing court proceedings. The costs of mediation will be shared equally unless otherwise agreed. Litigation will be a last resort.
I commit to approaching any dispute with the same intention of fairness, respect and genuine resolution.
33. Jurisdiction
My business is based in the State of Queensland. This Agreement is governed by the laws of Queensland and the Commonwealth of Australia.
If the dispute resolution process does not resolve a dispute, the parties submit to the exclusive jurisdiction of the courts of Queensland and the Commonwealth of Australia.
34.General Provisions
This Agreement constitutes the entire agreement between us in relation to its subject matter and supersedes any prior discussions, representations or understandings.
This Agreement may only be varied by written agreement between us. An email exchange clearly recording both parties’ consent is sufficient for this purpose.
If any provision of this Agreement is held to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
A failure or delay in exercising any right under this Agreement does not constitute a waiver of that right.
By completing your booking and making payment, you confirm that you have read and understood this Agreement and agree to be bound by its terms.
